1. Introduction
CleverWorks ("we", "our", "us") is committed to protecting your privacy. This Privacy Policy
explains what data we collect, how we collect it, how we use and share it, and how we safeguard
your information when you use our voice assistant application and related services.
2. Information We Collect
We collect the following categories of personal data:
- Account Information: Email address and authentication credentials when you
create an account (via email/password, Google Sign-In, or Sign in with Apple).
- Voice and Audio Data: When you use the voice assistant, your microphone audio
is streamed in real time to CleverWorks servers via an encrypted WebRTC connection. The audio
is converted to text (transcribed) on our servers.
- Conversation Data: The text transcriptions of your voice sessions and the
AI-generated responses are stored to provide the assistant service, maintain your call history,
and improve response quality.
- Contacts: If you grant permission, the app reads your device contacts (name,
email address, phone number) and uploads them to our server so the voice assistant can reference
them during conversations (e.g., "call John" or "email Sarah"). Contact data is collected only
after you explicitly grant the Contacts permission.
- Google Account Data: When you link your Google account, we access your Gmail,
Google Calendar, and Google Drive data as authorized by you through Google's OAuth consent flow.
We store a refresh token to maintain access on your behalf.
- Call History and Metadata: Timestamps, session identifiers, and summaries of
your voice sessions.
- Wake-Word Voice Samples (on-device only): If you set up the "Hey Athena" wake
word, short voice samples are recorded and stored exclusively on your device to create a
voiceprint. These samples are never uploaded to our servers or shared with any third party.
3. How We Collect Your Information
- Directly from you: When you create an account, use voice features, grant
contacts access, or link third-party accounts.
- From your device: Microphone audio (only during active voice sessions or
wake-word detection), device contacts (only with your permission).
- From third-party sign-in providers: Name and email address from Google or
Apple when you use social sign-in.
4. How We Use Your Information
- To provide and operate the voice assistant service, including understanding your requests and
generating spoken and text responses.
- To read, search, and send emails on your behalf when you request it.
- To view and manage your calendar events when you request it.
- To search and read your Google Drive documents when you request it.
- To look up contacts by name during voice interactions when you request it.
- To maintain your call history and session data.
- To send you push notifications about completed tasks and important updates.
5. Third-Party AI Service — Data Sharing with OpenAI
CleverWorks uses OpenAI's API to process your conversations and generate
intelligent responses. The following data is shared with OpenAI:
- What is sent: The text of your conversation (transcribed from your voice
audio), relevant context such as contact names, calendar event details, or email subjects
that you have authorised the assistant to access.
- What is NOT sent: Raw microphone audio is never sent to OpenAI. Audio is
transcribed on CleverWorks servers first; only the resulting text is shared.
- How OpenAI uses this data: OpenAI processes the data solely to generate
a response to your request. Under OpenAI's API data usage policy, API inputs and outputs
are not used to train OpenAI's models.
Before you can use voice features, the app asks for your explicit consent to this data sharing
via an in-app disclosure screen.
6. Contacts Data
If you grant the Contacts permission:
- Your device contacts (name, email, phone number) are uploaded to our server.
- They are stored in your account so the voice assistant can reference them during
conversations.
- Contact data is not shared with OpenAI or any other third party, except
when a contact's name appears in the conversation context you initiate (e.g., "send an
email to John Smith").
- You can delete all imported contacts at any time from the app's Account settings.
7. Data Storage and Security
Your data is stored securely on our servers. All data in transit is encrypted using TLS.
Google OAuth refresh tokens are stored per-user and are used solely to maintain your
authorized access. We use industry-standard security practices to protect your information.
8. Data Sharing Summary
We do not sell, trade, or share your personal information with third parties, except:
- OpenAI — conversation text for language processing (see Section 5).
- Google — OAuth tokens exchanged during account linking (governed by
Google's Terms of Service).
- Apple — authentication tokens during Sign in with Apple.
- Firebase Cloud Messaging (Google) — device tokens for push
notifications.
- When required by law or to protect our legal rights.
9. Google API Services — Limited Use Disclosure
CleverWorks' use and transfer of information received from Google APIs adheres to the
Google API Services
User Data Policy, including the Limited Use requirements.
10. Data Retention and Deletion
- You can unlink your Google account at any time, which revokes our access and deletes your
stored refresh token.
- You can delete all imported contacts from the app's Account settings.
- You can request deletion of your entire account and all associated data by contacting us
at support@cleverworksapp.com.
11. Your Rights
You have the right to access, correct, or delete your personal data. You may revoke Google
account access at any time through your Google Account settings or through the app. You may
withdraw your consent to AI data processing at any time by contacting us, though this will
limit the functionality of the voice assistant.
12. Children's Privacy
CleverWorks is not intended for use by children under the age of 13. We do not knowingly
collect personal data from children under 13.
13. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of significant changes
by posting the new policy within the app or on our website. Continued use of the Service after
changes constitutes acceptance of the updated policy.
